Running Multiple Physio Clinics? Here is How to Manage Them All from One System

The Multi-Clinic Chaos

You opened your second clinic because the first one was successful. But now you are running two separate diaries, two sets of patient records, two billing systems, and spending your evenings reconciling spreadsheets to understand how the business is actually performing.

This is the multi-clinic trap. Each new location multiplies the admin rather than just the revenue.

What Multi-Clinic Software Should Do

True multi-clinic practice management means:

  • One login: See all locations from a single dashboard
  • One patient record: A patient who visits your Bury St Edmunds branch and then your Clare branch has one record, not two
  • Per-location calendars: Each clinic has its own diary, practitioners, and availability
  • Cross-location booking: Patients can book at any location through one booking page
  • Consolidated reporting: Revenue, appointments, and utilisation across all sites
  • Per-location settings: Different opening hours, rooms, equipment, and treatment prices per branch
  • Staff rotation: Practitioners who work across multiple sites see their unified schedule

The Data Isolation Question

For NHS-adjacent and private clinics handling health data, multi-clinic software must maintain strict data isolation. This means:

  • Staff at Branch A cannot see patients exclusive to Branch B unless explicitly granted access
  • Financial data is segmented per location for accounting purposes
  • GDPR compliance is maintained per location with clear data processing records

Some software handles this well. Others treat multi-clinic as an afterthought, essentially giving everyone access to everything.

Practitioner Scheduling Across Sites

The biggest operational challenge for multi-clinic physio practices is scheduling practitioners who work at more than one location. A good system should:

  • Show a practitioner is availability across all their locations in one view
  • Prevent double-booking across sites (if Sarah works in Clare on Monday, she cannot be booked in Bury St Edmunds on Monday)
  • Handle different working hours per location (Sarah might do 9am-5pm at one site and 10am-6pm at another)
  • Allow location-specific break patterns and room assignments

Financial Oversight

When you are running multiple clinics, you need to know:

  • Which location is most profitable?
  • Which practitioner has the highest utilisation rate?
  • Where are the no-show rates highest?
  • What is the average revenue per appointment at each site?
  • Are marketing campaigns driving bookings to the right locations?

All of this should be available in your practice management system without exporting data to Excel.

Online Booking for Multiple Locations

Your patients should not need to know which website to visit for which branch. A single booking page should let them:

  1. Choose their preferred location
  2. See available practitioners at that location
  3. Select a treatment type with location-specific pricing
  4. Book and receive confirmation with the correct clinic address and directions

Growing Without Growing Pains

The right multi-clinic system makes opening your third, fourth, or fifth location a configuration exercise rather than a technology project. Add the new location, set up the diary, assign practitioners, and go. No new software licences, no data migration, no separate login.

If your current system makes expansion feel painful, that is a sign you have outgrown it.
