1. Purpose

This Acceptable Use Policy ("AUP") sets out the rules and guidelines for using the Pulse PMS platform ("Service"). It forms part of our Terms of Service and applies to all Authorised Users.

2. Permitted Use

The Service is designed exclusively for the management of healthcare practices within the United Kingdom. You may use the Service to:

  • Schedule and manage patient appointments
  • Create and maintain patient clinical records
  • Generate and process invoices and payments
  • Send appointment reminders and clinical communications to patients
  • Manage staff rotas, locations, and service offerings
  • Use AI-powered tools for clinical note-taking and decision support
  • Generate practice analytics and reports

3. Prohibited Use

You must not use the Service to:

  • Unlawful activity: Engage in any activity that violates UK law, including data protection legislation, the Computer Misuse Act 1990, or healthcare regulations
  • Unauthorised access: Attempt to access accounts, systems, or data belonging to other clinics or users
  • Data misuse: Collect, store, or process personal data for purposes other than legitimate healthcare practice management
  • Spam or unsolicited messaging: Send bulk marketing messages to patients without their explicit consent, or use the communications features to send content unrelated to healthcare
  • Harmful content: Upload, transmit, or store malicious software, viruses, or any material that could damage the Service or other users' systems
  • Reverse engineering: Decompile, disassemble, or reverse-engineer any part of the Service
  • Automated scraping: Use bots, scrapers, or automated tools to extract data from the Service
  • Reselling: Sublicense, resell, or provide the Service to third parties outside your organisation
  • Impersonation: Misrepresent your identity or authority when using the Service
  • Overloading: Deliberately impose an unreasonable load on our infrastructure

4. Account Security

All Authorised Users must:

  • Use strong, unique passwords and not share login credentials
  • Lock or log out of devices when unattended, particularly in clinical environments
  • Report any suspected security breach or unauthorised access immediately to both the clinic admin and Pulse Health
  • Only access patient data where they have a legitimate clinical or administrative need

5. Clinical Data Responsibilities

5.1. All clinical notes, treatment records, and patient communications entered into the Service should be accurate, professional, and clinically appropriate.

5.2. AI-generated content (e.g., clinical scribe outputs, suggested treatment plans) must be reviewed and approved by a qualified practitioner before being saved as part of the patient record.

5.3. The Service must not be used as the sole basis for clinical decisions. AI features are decision-support tools, not replacements for professional judgement.

6. Communication Standards

When using the Service's communication features (SMS, email, WhatsApp):

  • Messages must relate to legitimate healthcare purposes (appointments, treatment follow-ups, health information)
  • Marketing messages require explicit patient consent and must include an opt-out mechanism
  • Do not include sensitive clinical information in SMS/WhatsApp messages unless the patient has consented
  • Respect patients' communication preferences and opt-out requests

7. Enforcement

7.1. We may investigate suspected violations of this AUP. During investigation, we may temporarily restrict access to the affected account.

7.2. If we determine a violation has occurred, we may:

  • Issue a written warning
  • Temporarily suspend the violating user's access
  • Permanently terminate the Subscriber's account (for serious or repeated violations)
  • Report illegal activity to relevant authorities

7.3. We will make reasonable efforts to notify the Subscriber before taking enforcement action, except where immediate action is required to protect the Service or other users.

9. Changes

We may update this AUP from time to time. Material changes will be communicated via email or in-app notification.
